An overview of Apply

While the application process is the responsibility of each applicant, advisers play a crucial role in supporting them and managing the process of submitting applications.

The staff section of Apply allows you to permit staff to do various processes or prevent them from doing so. How things are set up at schools and centres will depend on many things, including the number of students involved and the allocation of responsibilities. The decisions you make as a team will need to allow the people responsible to undertake their tasks in a systematic way and it is worthwhile spending some time deciding who will do what so that permissions can be set correctly.

You will need to ask yourselves:

  • Do we want everyone to be able to see all applications, or just those belonging to students they have responsibility for?
  • Do we want all references to be signed by the principal of the school, even where they are written by tutors?
  • Do we want staff to be able to send off applications to UCAS or do we want that done centrally? Which option would ensure the best balance between easy record-keeping and avoiding hold-ups?
  • Do we want all staff to be able to delete applications that are no longer wanted by students, or do we want a system of referring these to one person with responsibility?
  • Do we want one member of staff or many to approve applications, and do we need back-ups in case of illness, holiday, etc?
  • Should the same member of staff write the reference and approve it?

Answers to questions such as these will help you to set up Apply in such a way as to ensure your system is progressing applications in the way that you want.
